Odoo Rental Management: How to Set It Up
A practical guide to Odoo Rental: rental products and pricing, availability, pickups and returns, serial-tracked assets, late fees and invoicing.
Equipment rental is a scheduling problem as much as a sales one. You need to know what is available, what is out and what is late. Odoo Rental brings booking, stock and invoicing together.
Rental products
Any product can be marked as rentable. For each one you set rental prices by period, such as per hour, per day or per week, plus a minimum rental duration if needed. You can still sell the same product outright if you also sell used equipment.
Pricing rules
Common rental pricing patterns in Odoo:
- Period rates: 1 day = 50, 1 week = 250
- Price lists: trade customers get lower rates
- Padding time: a buffer between rentals for cleaning or checks
- Late fees: an extra charge per hour or day after the return date
Agree these rules before setup, because they drive every quote.
Availability
The rental schedule shows each product or serial number on a timeline, with bookings, pickups and returns. Staff can see at a glance whether a machine is free next Tuesday.
Pickup and return
A rental order moves through stages: quoted, reserved, picked up and returned. At pickup, stock moves out of the warehouse. At return, it comes back in. Condition notes can be added at each step.
Serial numbers and maintenance
For valuable equipment, track each unit by serial number. You can then see its full rental history. Link returns to Odoo Maintenance so units needing repair are inspected before the next booking.
Deposits and invoicing
Deposits can be added as a separate line or a down payment. Invoices are created from the rental order, either upfront or after return, depending on your terms. Late fees are added on return.
Online rentals
With the Odoo website, customers can select dates and see availability before booking. This works well for party hire, tools and small equipment.
Setup checklist
- List rental products and serial numbers.
- Define periods, prices and late fees.
- Set padding time between rentals.
- Test a full rental: quote, pickup, return, invoice.
- Migrate open rentals at go-live.
