How to upgrade ERPNext between major versions: inventory apps, handle features moved to separate apps, test on staging and run the production upgrade.

Overview
Our implementations slow down at the decisions that are hard to reverse — company structure, valuation method, item and warehouse design, accounting dimensions — and move quickly everywhere else. The aim is a system your finance and operations leads trust from the first month-end.

01
These ERPNext settings shape every transaction that follows. We make them with your finance and operations leads in the room and record why each choice was made.
Single or multi-company, the account tree, cost centres and accounting dimensions. This is the structure every financial report is built on.
FIFO or moving average per item, perpetual inventory per company, and how landed costs are applied. Changing these after transactions exist means reposting.
Item naming series, templates versus variants, stock and purchase units, batch and serial tracking. Weak item design causes most post-go-live friction.
Warehouse groups, transit and rejected warehouses, and work-in-progress locations for manufacturing — designed for how stock really moves.
02
For a trading or light manufacturing business, a sensible first phase covers selling (quotations, sales orders, delivery notes, sales invoices), buying (material requests, purchase orders, receipts, purchase invoices), stock, and accounting with bank reconciliation. Taxes are configured through sales and purchase tax templates and item tax templates; in India, the India Compliance app handles GST returns, e-invoices and e-way bills.
Manufacturing, Frappe HR and payroll, projects, assets and the customer portal usually follow in a second phase. The core transactional flow stabilises first, and your team is not learning everything at once.
03
ERPNext's Data Import tool loads CSV and Excel files for any DocType, which makes migration approachable — and makes it tempting to load uncleaned data. We profile and clean source data first, then load master data (customers, suppliers, items, BOMs, price lists), open documents (pending orders, unpaid invoices) and opening balances (stock by warehouse and batch, opening journal entries).
Every load is scripted and repeatable. We run at least two full mock imports on a staging site, reconcile stock quantity and value against the old system and the trial balance, and only schedule cutover when the numbers tie out.
Process
Workshops per department, process walkthroughs, systems inventory, data profiling and a fit-gap list against standard ERPNext.
A solution design covering configuration, customisations, custom apps, integrations and data migration scope.
Two-week cycles with demonstrations on your own data. Customisations are exported as fixtures in a custom app and tracked in Git.
Full data rehearsals, reconciliation, and user acceptance testing against scenarios written by your team.
Role-based training on real transactions, role permissions reviewed, a rehearsed cutover runbook and a go/no-go decision.
Daily check-ins for the first weeks and close support through the first period closing.

FAQ
A focused first phase for a small to mid-sized business typically takes two to five months. Manufacturing, multiple companies, payroll and significant integrations extend that. We give a range after discovery, with the assumptions written down.
Some technically capable teams do, especially for straightforward trading businesses. The risk is in the irreversible decisions — valuation, accounts, item design — and in data migration. A short advisory engagement on those points often pays for itself.
A project owner with decision authority, a key user per department with real time for workshops and testing, and data exports from current systems. Implementations stall when internal people are not given time to take part.
Yes. Multiple companies can share one site with separate charts of accounts, and transactions can be in any currency with exchange gain and loss handled automatically. Inter-company transactions need deliberate configuration.
