ERPNext migrations and upgrades without surprises

Two kinds of migration bring clients to us. Some are moving to ERPNext from Tally, QuickBooks, Xero, Odoo, an older ERP or a collection of spreadsheets. Others are already on ERPNext but stuck on an old major version because the last upgrade attempt broke something.

Overview

The short version

Both are data and code problems more than software problems. We profile and clean data before it moves, script every load so it can be rehearsed, and reconcile the results to the last unit of stock and the last rupee, dollar or pound on the trial balance.

01

Migrating to ERPNext

We migrate master data, open documents and opening balances, and usually leave closed history in the old system or an archive that stays searchable. Bringing years of history into ERPNext rarely justifies the cost and risk.

From Tally

Ledgers mapped to an ERPNext chart of accounts, GST details carried across, stock items and godowns mapped to items and warehouses.

From QuickBooks or Xero

Customers, suppliers, items and open invoices, with stock and costing moved into a real perpetual inventory for the first time.

From Odoo or another ERP

Products, BOMs, price lists, open orders and balances extracted from the source database and transformed into ERPNext DocTypes.

02

Upgrading older ERPNext versions

ERPNext major versions change data structures and move features between apps — HR and payroll moved into Frappe HR, and regional features into apps such as India Compliance. An upgrade has to account for those moves as well as for your own custom apps and scripts.

We upgrade a copy of production on staging first, step through intermediate versions where required, fix custom code against the new version, and have your key users test before scheduling the production upgrade.

Process

How we deliver it

  1. 01

    Profile

Source data and customisations are inventoried and assessed for quality, volume and risk.

  2. 02

    Map and script

Field mappings agreed with your team and transformation scripts written so every load is repeatable.

  3. 03

    Rehearse

At least two full rehearsals on staging, reconciled against source reports and the general ledger.

  4. 04

    Cut over

A timed cutover runbook, final load, sign-off on reconciliations and hypercare afterwards.

FAQ

Frequently asked questions

Can you migrate our full Tally history to ERPNext?

It is possible, but rarely worthwhile. We normally migrate masters, open items and opening balances at a period boundary, and keep Tally available read-only for historical reference and audits.

We are on an old ERPNext version. Can we jump straight to the latest?

Usually the database must pass through intermediate major versions so each version's patches run. We plan the path, test it on a copy, and fix custom apps at each step.

How long is the downtime at cutover?

Typically a weekend for a migration to ERPNext and a few hours for a version upgrade. Rehearsals tell us the real figure before we commit to a date.
