Preventive Maintenance in Odoo: Setup Guide
Set up preventive maintenance in Odoo: equipment register, maintenance teams, recurring requests, breakdown reporting, spare parts and MTBF and MTTR reports.
Preventive maintenance stops small problems from becoming breakdowns. If your plant already runs on Odoo, the Maintenance app keeps equipment, schedules and spare parts in the same system as production.
Build the equipment register
Start with a list of every machine, tool and vehicle you maintain. For each one record:
- Name and category, such as CNC machines or forklifts
- Serial number, model and vendor
- Location and work centre
- Warranty end date
- Responsible technician or team
Group equipment into categories so schedules and reports can be applied by type.
Create maintenance teams
Teams can be internal technicians or external contractors. Each team has its own board of requests. Small plants often start with a single team and split later.
Set preventive schedules
For each piece of equipment, set the preventive interval in days and the expected duration. Odoo creates the next request automatically when the current one is done. Base intervals on manufacturer guidance and your own breakdown history.
If you need usage-based maintenance, such as every 500 machine hours, that usually needs a small customisation or a counter recorded by operators.
Report breakdowns
Operators should be able to raise a corrective request in seconds, from a tablet or phone, picking the equipment and describing the problem. Keep the form short. A request that takes five minutes to log will not be logged.
Link to production
When equipment is linked to a work centre, planners can see maintenance against production capacity. This avoids scheduling work on a machine that is down for service.
Manage spare parts
Spare parts are inventory products with reorder rules. Critical spares, such as a spindle motor with a long lead time, should have a minimum stock level so they are never missing when needed.
Measure what matters
Odoo reports mean time between failures (MTBF) and mean time to repair (MTTR) per equipment. Review them monthly to adjust intervals: if a machine still breaks down often, shorten the interval or look at root causes.
Rollout tips
- Import equipment from a spreadsheet, not by hand.
- Start preventive schedules for the ten most critical machines first.
- Train operators on breakdown requests on day one.

Frequently asked questions
Can Odoo replace a CMMS?
For many small and mid-sized plants, yes. Odoo Maintenance covers equipment, preventive schedules, corrective requests and basic reporting. Large asset-heavy operations may still need a dedicated CMMS.
Does Odoo track maintenance costs?
Spare parts used can be consumed from inventory and labour can be tracked, giving a cost view per equipment with the right setup.
