Free ERP Software: What's Actually Free in 2026
An honest look at free ERP software: open-source options like Odoo Community and ERPNext, free tiers of paid systems, and the costs that show up once you start using them.
"Free ERP" turns up in a lot of searches, and the results are confusing. Some products are open source and genuinely free to use. Others are free for one user or one app and charge after that. A few are free trials dressed up as free products.
Here's how to sort them out, and what you'll pay for even when the licence costs nothing.
Three kinds of "free"
1. Open-source ERP
The source code is published under an open licence. You can download it, install it on your own server and use it for as many users as you like with no licence fee. Main examples:
- Odoo Community. The open-source edition of Odoo (LGPLv3). Big ecosystem, strong inventory, sales, purchasing, manufacturing and website apps. Some features, like full accounting reports, Studio and the barcode app, are Enterprise-only.
- ERPNext. Fully open source (GPLv3), including accounting, HR and manufacturing. Smaller ecosystem than Odoo, but less of its functionality sits behind a paid edition.
- Dolibarr. Lightweight and simple. Good for very small businesses, freelancers and associations.
- iDempiere and Apache OFBiz. Powerful, older-style platforms that need more technical expertise.
We compare these in more depth in best open-source ERP systems compared.
2. Free tiers of commercial ERP
Some vendors give away a limited version: one app, a few users or a capped number of transactions. Odoo, for example, has offered a "one app free" plan on Odoo Online, which is fine if one app is all you need. As soon as you add a second, you're on a paid plan. Always check the current terms on the vendor's site, because these offers change.
3. Free trials
Fourteen or thirty days, then it's a paid product. Useful for evaluation, not for running a business.
What free ERP still costs
This is the part most "top 10 free ERP" lists skip. A licence fee is just one line in the budget. Here's what's left:
| Cost | Why it exists |
|---|---|
| Hosting | A server, database, backups and SSL certificate. Small for a VPS, more if you want managed hosting. |
| Setup and configuration | Chart of accounts, taxes, warehouses, product data, user roles. Days for simple cases, weeks for complex ones. |
| Data migration | Getting customers, products, open orders and balances out of your old system. |
| Gaps in the free edition | Paid third-party modules, or development to fill missing features. |
| Upgrades | Moving to a new major version every year or two. On Community editions, this is your responsibility. |
| Support | When something breaks at month-end, someone has to fix it. |
We go through each of these with real-world examples in the hidden costs of free ERP.
When free ERP is the right call
Free and open-source ERP works well when:
- Your processes are fairly standard (buy, stock, sell, invoice)
- You have someone technical in-house, or a partner you trust
- You'd rather spend money on implementation than on licences
- You want to own your data and your hosting
It's a harder fit when you need a lot of Enterprise-only features, have no technical capacity at all, or operate in a heavily regulated industry that expects vendor support contracts.
A sensible way to try it
- Install a test copy of Odoo Community or ERPNext. Docker makes this quick. Our Odoo Community installation guide walks through it.
- Load twenty real products, five customers and five suppliers.
- Run one complete cycle: purchase order, receipt, sales order, delivery, invoice, payment.
- Note where it felt awkward and where it was missing something.
