Moving From Excel to ERP: A Step-by-Step Plan
How to move from spreadsheets to an ERP: mapping your spreadsheets, cleaning data, choosing what to migrate, opening balances, training and retiring the old files.
Spreadsheets are where most businesses start, and they work until they don't. Formulas break, versions multiply and only one person understands the stock file. Moving to an ERP fixes this, if the move is planned.
1. List your spreadsheets
Find every spreadsheet that runs part of the business: price lists, stock, orders, production plans, customer lists, commission and cash flow. For each one, note who owns it, how often it is updated and what decisions depend on it.
2. Map each one to the ERP
| Spreadsheet | ERP replacement |
|---|---|
| Customer list | Contacts |
| Price list | Products and price lists |
| Stock file | Inventory |
| Order tracker | Sales orders |
| Purchase log | Purchase orders |
| Production plan | Manufacturing orders |
| Invoice log | Invoicing and accounting |
Some spreadsheets, such as forecasts or what-if models, may stay as analysis tools.
3. Clean the data
Spreadsheet data is usually messy: duplicates, different spellings, merged cells, notes in number columns. Clean it before import:
- One row per record
- One value per cell
- Consistent codes and units
- Remove records nobody uses
4. Decide what to migrate
Migrate master data and open items: customers, vendors, products, opening stock, open orders and open invoices. Old closed transactions usually stay in the archived spreadsheets.
5. Import and test
Do a trial import into a test database. Check totals against the spreadsheets. See Odoo data import for the technical steps.
6. Train people on the new way
The hardest part is habit. Show each person how the task they used to do in Excel is done in the ERP.
7. Retire the spreadsheets
On go-live, make operational spreadsheets read-only. If people can still edit them, they will.
Choosing an ERP
If you are moving from spreadsheets, an open-source ERP is often a good first step. See ERP for small business and our free Odoo setup.
Frequently asked questions
Can spreadsheets be imported into an ERP?
Yes. Most ERPs, including Odoo and ERPNext, import CSV and Excel files. The work is in cleaning and structuring the data first.
Should we keep using Excel after moving to ERP?
For analysis, yes. For recording transactions, no. Once the ERP is live, the spreadsheets that held operational data should become read-only.
