Odoo in the UK: VAT, MTD and Implementation

Implementing Odoo in the UK: VAT and Making Tax Digital, Northern Ireland and EU trade, payroll options, and migrating from Xero or Sage.

UK businesses usually come to Odoo from one of two places: Xero or Sage with a pile of spreadsheets around it, or an older on-premise system that's out of support. Either way, the UK-specific setup is mostly about VAT, Making Tax Digital and payroll.

UK localisation and VAT

Start with the UK accounting localisation. It sets up a UK chart of accounts and the standard VAT rates: standard, reduced, zero-rated and exempt. Then work through the less common cases with your accountant:

  • Reverse charge for construction services (domestic reverse charge) and certain imported services
  • Flat Rate Scheme if you use it, though larger businesses usually don't
  • Cash accounting for VAT, if applicable
  • Partial exemption, which rarely fits standard software and needs care

Use fiscal positions to switch taxes automatically for EU customers, non-EU customers and reverse-charge cases.

Making Tax Digital

VAT-registered businesses have to keep digital records and file VAT returns through MTD-compatible software. Odoo Enterprise has supported direct submission to HMRC through its UK reports. If you're on Community, you'll need a third-party module or bridging software.

Whichever route, test a submission in HMRC's sandbox and file your first live return with your accountant watching.

Northern Ireland and EU trade

Since Brexit, goods trade between Great Britain and the EU requires customs declarations, and Northern Ireland follows special rules for goods. If you trade across these borders:

  • Store EORI numbers on your company and on relevant partners
  • Record commodity codes and country of origin on products
  • Decide whether your ERP or your customs broker produces the declarations
  • Configure fiscal positions for Northern Ireland separately from Great Britain

Payroll

UK payroll involves PAYE, RTI submissions, pensions auto-enrolment and frequent rule changes. Most UK Odoo users run a dedicated payroll product (there are several popular ones) and import a monthly summary journal into Odoo. That's usually simpler and safer than building payroll inside the ERP.

Construction Industry Scheme

If you're in construction, CIS deductions and returns matter. Standard Odoo support is limited, so plan this with your partner. Sometimes a dedicated module, sometimes a process with your accountant.

Migrating from Xero or Sage

A typical UK migration moves:

  • Chart of accounts, mapped and often simplified
  • Customers and suppliers with VAT numbers and terms
  • Products with costs and stock quantities
  • Open sales and purchase invoices
  • Opening trial balance at a period end

Cut over at a VAT quarter boundary if you can. It makes the first MTD return much cleaner.

Choosing an Odoo partner in the UK

Look for a partner who has done UK VAT and MTD before, will be around for your first quarter-end, and is honest about payroll. Ask how they handle bank feeds from UK banks too. Coverage varies by bank.

Does Odoo do UK payroll?

Most UK businesses running Odoo use a dedicated payroll product and post summary journals into Odoo. Check whether Odoo's own UK payroll meets your needs for the version you're using.

Can we move from Xero to Odoo?

Yes. Contacts, products, the chart of accounts, open invoices and opening balances migrate cleanly. Many businesses make this move when inventory or manufacturing becomes too complex for Xero alone.
