ERPNext POS: Setup Guide for Retail Stores
How to set up ERPNext point of sale: POS profiles, payment modes, offline use, barcode scanning, opening and closing entries, loyalty programs and stock.
ERPNext includes a point of sale that shares stock, customers and accounts with the rest of the system. It suits small and mid-sized retailers that want one system for store and back office.
POS profiles
A POS profile defines how each till works:
- Company, warehouse and price list
- Allowed payment methods
- Item groups shown
- Whether discounts and rate changes are allowed
- Print format for receipts
Create one profile per store or till type and assign users to it.
Payment modes
Set up modes of payment such as cash, card and wallets, each linked to an account. Card terminals usually run separately, with the POS recording the payment.
Opening and closing
Each shift starts with a POS opening entry, recording the cash float, and ends with a closing entry that compares expected and counted amounts by payment mode. Differences are recorded for review.
Barcode and items
Add barcodes to items and scan them at the till. Use item variants for sizes and colours. Keep item names short so they fit on receipts.
Customers and loyalty
Walk-in customers can use a default customer. For repeat customers, capture contact details and use loyalty programs to award and redeem points.
Stock
POS sales reduce stock in the profile's warehouse when invoices are consolidated. Replenish stores with stock transfers from a central warehouse.
Accounting
POS invoices are consolidated into sales invoices at closing, keeping the ledger tidy.
Offline use
Check how your ERPNext version handles network drops before going live, especially for stores with unreliable internet.
