ERP for Small Business: Where to Start

ERP for small business: what to implement first, realistic budgets and timelines, free and low-cost options, and how to avoid buying too much system.

By ERP Builders TeamUpdated 2 min read

Small businesses don't need a smaller version of an enterprise ERP project. They need a different approach: fewer modules, shorter phases, and a strong bias towards standard features.

Start with the problem, not the software

Write down the three things that cost you the most time or money today. For a typical small business, it's something like:

  • "We re-enter every Shopify order into the accounting system"
  • "We don't know what stock we have without walking the shelves"
  • "Quotes take an hour because pricing lives in a spreadsheet"

Your first phase should fix those three things and nothing else.

A sensible first phase

For most small product businesses, phase one is:

  1. Sales: quotes, orders, price lists
  2. Purchasing: purchase orders and vendor bills
  3. Inventory: stock by location, receipts, deliveries
  4. Invoicing or accounting: invoices, payments, tax
  5. One integration: usually your online store

For service businesses: CRM, projects, timesheets and invoicing.

That's enough to change how the business runs. Manufacturing, advanced reporting and automation can follow once people are comfortable.

Realistic timelines

  • Standard setup, clean data, one integration: often 6–12 weeks
  • More data cleanup or a second integration: 3–4 months
  • Light manufacturing or multiple companies: 4–6 months

The biggest variable isn't the software. It's how much time your team can give the project. Two hours a week from the person who knows the business best will make a bigger difference than any feature.

Budget, roughly

Small business ERP costs fall into:

  • Licences: zero (open source) to a per-user monthly fee
  • Implementation: usually the biggest one-off cost
  • Hosting: small, unless you need managed hosting
  • Support: a small monthly retainer or pay as you go

Read how much ERP implementation costs for how quotes are built, and free ERP software if budget is tight.

Options worth looking at

  • Odoo (Community or Enterprise): broad, modular, a large partner network. See what is Odoo.
  • ERPNext: fully open source with good accounting.
  • Accounting software plus a few apps: still right for some very small businesses.

Avoid systems built for large enterprises unless you have a specific reason. Their implementation and licensing models aren't built for a 15-person company.

Mistakes small businesses make

  1. Buying everything at once. All modules, all users, day one. Adoption suffers.
  2. Customising too early. Use the system for three months before deciding what's really missing.
  3. Skipping data cleanup. Duplicates and wrong units cause most early problems.
  4. No internal owner. Someone in the business needs to own the system after go-live.
  5. Choosing on price alone. The cheapest quote often leaves out training and support.

Next step

Unsure whether you're ready? Read signs your business needs an ERP. If you are, a free consultation will give you a realistic scope and budget.

On a tight budget? Odoo Community has no licence fee, and we'll set it up for free. You only pay for hosting. See free Odoo setup.

Frequently asked questions

How many employees do you need before an ERP makes sense?

There's no fixed number. Businesses with 8 staff and three sales channels often benefit more than a 40-person service firm with simple invoicing.

What's the cheapest ERP for a small business?

Open-source options like Odoo Community or ERPNext have no licence cost. Odoo's one-app-free plan is another low-cost way to start. Implementation time is the main expense either way.
