Is ERPNext Free? The Real Cost of Running ERPNext

ERPNext has no licence fee, but it is not free to run. Hosting, implementation, customisation and support costs, compared with licensed ERPs.

By ERP Builders Team3 min read

Yes, ERPNext the software is free. It is released under the GPLv3 licence, every module is included, and there is no per-user fee. You can download it, install it and use it without paying anyone.

But running ERPNext well is not free, and treating it as free is how many ERPNext projects go wrong. Here is where the money actually goes.

What costs nothing

  • Licences. No per-user, per-module or per-company fees, now or as you grow.
  • Modules. Accounting, stock, manufacturing, projects, assets, CRM and support are all included. Frappe HR, Frappe CRM, Helpdesk and Insights are free too.
  • Upgrades. New versions are free; the effort to apply them is not.

What you do pay for

Hosting

ERPNext needs a server running Python, MariaDB, Redis and a web server. Your options:

  • Frappe Cloud — managed hosting from Frappe, priced per site by plan size. Backups, updates and infrastructure are handled for you. Custom apps need a private bench plan.
  • Self-hosted cloud — a virtual server on AWS, Azure, Google Cloud, DigitalOcean, Hetzner or similar. Cheaper in cash, but someone must handle security patches, backups and monitoring.
  • On-premise — your own hardware, with the same administrative responsibilities.

We compare these in detail in ERPNext hosting options.

Implementation

This is usually the largest single cost. It covers discovery, configuration, data migration, testing, training and go-live support. A small trading business with clean data may need a few weeks; a manufacturer with multiple companies, payroll and integrations may need several months.

Skipping implementation does not remove the cost — it moves it to later, when it shows up as inaccurate stock values, a chart of accounts finance cannot report from, and users who quietly go back to spreadsheets.

Customisation and development

Much of ERPNext can be adapted through configuration at no extra cost. Requirements that genuinely need custom Frappe apps — complex pricing, integrations, industry-specific documents — add development and testing time, and must be maintained through upgrades.

Support

After go-live you need someone to answer user questions, fix issues, apply updates and plan major upgrades. That can be an internal administrator, a services partner on a retainer, or Frappe's own support plans.

ERPNext vs licensed ERP over five years

The difference grows with headcount. A licensed ERP charging per user per month costs more every time you hire. ERPNext's costs are driven by complexity, not users.

As a rough illustration for a 30-user business:

Cost areaERPNextTypical licensed SMB ERP
Software licencesNonePer user, every month
HostingManaged plan or own serverOften bundled in SaaS fee
ImplementationSimilar effortSimilar effort
CustomisationLow-code first, then custom appsVaries; some platforms charge for tools
SupportPartner or internalPartner or vendor

Implementation and support are broadly similar across platforms. The licence line is where ERPNext pulls ahead — and that saving compounds every year.

Hidden costs to watch

  • Free-but-unsupported installs. A volunteer setup with no backups or monitoring is a business risk, not a saving.
  • Over-customisation. Easy scripting can create a system that is expensive to upgrade. See our customisation guide.
  • Postponed upgrades. Falling several major versions behind makes the eventual upgrade a project in its own right.

The bottom line

ERPNext is free to own and reasonably priced to run. Budget for hosting, a proper implementation and ongoing support, and it is one of the best-value ERPs available to SMBs. If you want a realistic estimate for your business, talk to our ERPNext team.

Frequently asked questions

Do I have to pay Frappe to use ERPNext?

No. ERPNext is GPLv3 open source and can be used without paying Frappe. Frappe sells managed hosting and support, which are optional.

Are there any paid ERPNext modules?

No. All ERPNext modules are open source. Some third-party apps built on Frappe are commercial, but the core ERP and Frappe's own apps are free.

What is the cheapest way to run ERPNext?

Self-hosting on a small VPS with in-house administration is cheapest in cash terms, but carries the most risk. For most businesses a managed hosting plan is better value once staff time is counted.
